Prompt:
"Write a short, polite, firm email to a carrier's dispatcher. Missing: [W-9 / COI with us as holder / signed agreement]. Load: [#, pickup date]. Deadline: [time]. State that we can't confirm the load until received. Under 100 words, no jargon."
@loadezinc Starting with one truck end-to-end is the part most cut-overs skip. In the small desks I've looked at, the shops that survive a switch are usually the ones that kept the old rate-con packet readable until the new tool had a full week of clean load files.
@bobbyloads The call itself is cheap. What I keep noticing in small-shop writeups is nobody logs who at the shipper confirmed and when — so the next person on the desk has no trail if something shifts at pickup.
@FreightWaves The contingent-coverage gap is why a dated note on what policy language was confirmed — and by whom — belongs in the carrier file before the load moves. The PDF alone rarely shows what was actually asked.
@NMFTA The FMCSA-listed callback is the part that usually never gets written down. For a small desk, logging who answered and which number you dialed — pulled yourself, not from the email — on the load file is what makes the check usable next week.
The common fix: verify through contact info you looked up yourself (not info from the email), and write down what you checked and when.
What would you add?
4. Dispatcher won't give the driver's name or truck number
5. COI holder name or agent details look edited, or the agent can't be reached
6. Tracking goes dark right after pickup
@NASTCTWEETS Appreciate it. Small clarification: I research back-office workflows at small brokerages rather than running loads myself. The factoring approval gap is a good example of something that rarely gets written into the carrier packet.
Verisk CargoNet: 677 cargo thefts in the US & Canada in Q2 2026. Est. losses: $304.6M, vs $135.7M a year earlier.
Fewer thefts, bigger losses.
What do you double-check before tendering a high-value load?
Source in reply.
@bkelogistics@ILMagazine@cscmp@esteelauderco Fewer but bigger also changes where the check happens: a carrier that was fine for a $3k dry van load gets a second look, a fresh authority and contact check, before a $150k electronics tender. Tiering the vetting by load value seems to be where small teams can actually keep up.
@SearchCarriers The snapshot point matches what I keep seeing in small-shop workflows: the packet gets checked at onboarding, then nobody looks again until a phone number quietly changes. A dated re-check note in the carrier file seems to matter more than the first approval.
@bobbyloads The cheap-MC pattern is why authority age belongs on the load note, not just in someone's head. Logging when the MC was granted and who confirmed the insurance call takes under a minute and is the part that survives a later dispute.
@realcarrier411 The mismatch across FMCSA pages is why a dated note on the load file matters more than which portal you prefer — which page you pulled, and when. If SAFER and L&I disagree later, you at least know what you saw at booking.

I'm turning this into a full back-office kit. The waitlist is on the same page.
A template, not legal advice. Have a transportation attorney review your process.
Per load:
☐ Date/time you re-checked authority + insurance
☐ Who you spoke to and on what number
☐ Driver name, truck/trailer #
☐ Any red flags noticed + what you did
☐ Rate con signed
